Invoice
Tutoring invoice generator
Fill in an invoice for your lessons online, with totals in your currency and your payment details, then download it as a PDF. Free, no account.
A tutoring invoice is the document that lists the lessons you gave a student, what they cost and when payment is due. This generator builds one from your lesson lines (date, subject, hours, hourly rate, quantity), adds the totals in the currency you choose and saves it as a PDF. Tutors working in France can switch on the French micro-entrepreneur mentions.
- Which details an invoice must show depends on your country and tax status. Check the rules that apply to you before sending it.
- Add an invoice number.

In Kadrella, every lesson in the schedule carries its student, length and price. When you record a payment you received and allocate it to those lessons, Kadrella generates the PDF invoice listing them, with continuous numbering, and you can send it to the family over WhatsApp. Invoicing is part of the Pro plan.

How to write a tutoring invoice
One invoice per client and per period is enough. Many tutors invoice monthly, with one line per lesson or one line per group of identical lessons (same length, same rate). A line's amount is the length times the hourly rate times the number of lessons: four 1.5-hour lessons at 30 an hour come to 180.
Give every invoice the number that follows the previous one (2026-001, 2026-002...), so you and the family can refer to it. Add the issue date, the dates of the lessons billed and the date payment is due. For a minor, bill the parent who pays.
Pick the currency, add a tax rate only if you charge tax, then click "Download as PDF or print" and choose "Save as PDF". Keep a copy of every invoice. Which details are mandatory depends on your country: check your tax authority's guidance.
What to put on a tutoring invoice
There is no single international list, but most invoices carry the same core details. The generator has a field for each of them.
- Your name, address and contact details, plus a tax or business ID if you have one.
- The client's name and address (the parent who pays, for a minor).
- A unique invoice number, the issue date and the due date.
- One line per lesson or group of lessons: date, subject, hours, hourly rate and quantity.
- The total, with a separate tax line if you charge tax.
- How to pay you: accepted payment methods and bank details.
- Any late payment terms you apply, in the note field.
- If you work in France: the French mentions (SIRET, EI, VAT wording, late payment terms), which the French mode adds.
Tutors working in France as micro-entrepreneurs: switch on the French mentions to add what French law requires. The French version of this page lists each one with its official source.
Tax on tutoring invoices
Whether you add VAT or sales tax depends on your country, your status and sometimes your revenue. Leave the tax rate at 0 if you don't charge any: the invoice then shows a single total.
In France, private lessons given personally by an individual paid directly by their students are VAT-exempt (article 261-4-4° b of the French tax code), and micro-entrepreneurs under the threshold use the VAT franchise. The French mode prints the matching mention.
Frequently asked questions
- Do I need to send invoices for private tutoring?
- It depends on your country and on who pays you. Many tutors invoice anyway: the family gets a clear record of lessons and amounts, and you have a document to point to if a payment is late. In France, an invoice is mandatory for a business client, and a written note is required for a private client when the service exceeds 25 EUR including tax.
- Should I charge VAT or sales tax on lessons?
- That depends on your local rules. Set the tax rate to 0 if you don't charge any. In France, private lessons given personally by an individual paid directly by their students are VAT-exempt (article 261-4-4° b of the French tax code), and the French mode prints the matching mention.
- Can I add late payment fees?
- You can state your late payment terms in the note field. Rules on late fees differ from one country to another. In France, between businesses, the penalty rate cannot be lower than three times the legal interest rate and a fixed 40 EUR recovery fee applies; that fee cannot be claimed from a private individual.
- How should I number my invoices?
- Give each invoice a unique number that follows the previous one, for example the year and then a counter (2026-001, 2026-002). Don't reuse or skip numbers: if an invoice was wrong, issue a credit note instead of deleting it. In France, a continuous sequence with no gaps is a legal requirement.
- Which currencies can I use?
- Euro, pound sterling, US dollar, Canadian dollar, Australian dollar and Swiss franc. Amounts are formatted for the invoice language you pick.
- Can I write the invoice in English if I work in France?
- Yes. Service-public notes that a certified translation may be required when an invoice is written in a foreign language, so French is the safer choice for French clients. The generator lets you pick French or English for the document.
- How do I save the invoice as a PDF?
- Click "Download as PDF or print", then choose "Save as PDF" as the printer. Only the invoice is printed, on A4 paper.
- Is my data sent anywhere?
- No. What you type stays in your browser (local storage) for your next visit, and the PDF is produced by your browser's print function. Nothing is sent to Kadrella.
